Apply for a VOAN

If an organisation meets the eligibility criteria, the form "Application To Obtain Volunteer Organisation Authorisation Number RF 2018" PDF icon (573 kb) should be completed and forwarded to:

This form must be submitted via mail. SAPOL will not accept faxed copies or emailed applications.

The application requires that the organisation's incorporation number be provided, a copy of the certificate is not required.

SAPOL will process the applications and advise organisations in writing if they are approved to access the volunteer benefit. An Authorisation Number will be provided with this letter.

The Authorisation Number must only be used for checks undertaken by that organisation and its subsidiary units. This information will be routinely audited and reported to other government agencies.

The Authorisation Number must be provided on all NPC applications for volunteers seeking a waiver of fees. If the number and / or the full fee is not provided, the application will be returned not processed.

In addition to providing the number, an organisation will be required to endorse all NPC applications to substantiate the volunteer's role. An endorsement section is included in the last part of the NPC form.

Organisations cannot request a waived fee without specific authorisation, therefore, requests for police checks for volunteers should not be forwarded until the organisation is advised of the outcome of the authorisation application.

Please note that paid employees are charged the full fee even though an organisation may have authorisation to conduct police checks on volunteers at the reduced rate.
